Royal Dutch Kentalis Privacy Statement – Webshop and Online Learning Environment

At Kentalis, we respect your privacy. In our relationship with you, we work on the basis of mutual trust. That is why we make every effort to live up to this trust and to protect your personal data. With this Privacy Statement we make clear which information we collect in order to be able to properly inform you and to provide you with good products and good education. You can read all about how we protect your personal data and what your rights are in this statement.
How do we protect your privacy?
Kentalis adheres to privacy laws and regulations. Our employees are bound by external and internal rules of conduct and work in accordance with the mandatory and customary quality guarantees in our field. In addition, we protect the information we have about you. This also applies to the organizations we work with that use your personal data. We make clear agreements with them about proper security.
We need the information we collect from you in order to be able to supply you with good products or to provide good education. No more and no less.
We have recorded in a processing register which information we record, what we do with it and how long we keep this information.
How does Kentalis handle your data?
We handle your data carefully in accordance with the requirements set by the General Data Protection Regulation. In this privacy statement you will find more information about how we do this.
Which personal data do we store when you place an order in the Kentalis Webshop?
If you order something, we need certain information from you to be able to deliver your order and to keep you informed about your order. This information is also required for returns or repairs. For this we collect your name, e-mail address, delivery address (es), payment details and your telephone number.
In the case of a course order, we also ask for your date of birth, because this is necessary to create an account in the Kentalis Learning Environment for possible certification and accreditation (see 'What data do we store for an account in the Kentalis Learning Environment? ').
The data is necessary to execute the agreement you have concluded with us. By law, we must keep the data related to your order for 7 years. Then we will delete them.
Account Kentalis Webshop
If you have chosen to create an account in the Kentalis webshop, the following data will be stored there: your name, (delivery and residence / location) address (es), telephone number, e-mail address, payment details, VAT number (if you have provided one) and any items on your wish list. In your account we also store your order history including chosen delivery options.
We keep the data in your account as long as you are an active customer with us. If you have not logged in with us for 7 years, we will delete all your data. You can also make a request at any time to have your account and associated data deleted via email@example.com.
Which personal data do we store for an account in the Kentalis learning environment?
We may record this information based on the education we provide to you. When entering into an agreement with us, we ask for a number of standard personal data. There is a difference when you are a Kentalis employee or a Kentalis customer. The two situations are described below:
Account for Kentalis Academie customers
If your account is created via the Kentalis webshop, we record the data as mentioned above under the heading "What personal data do we store when you place an order in the Kentalis webshop?". This data is stored in an account that also records your study history and the certificates you have obtained. Your account will remain active for 1 year after registration. An inactive account can be reactivated by a new course order via the Kentalis webshop. If an account remains inactive for 5 years, we will delete it. You can also request to have your data deleted at any time via firstname.lastname@example.org.
Account for Kentalis employees
If your account has been created in the online learning environment because you are a Kentalis employee, we only use the data as known in the HRM system. This data is recorded in an account that also records your study history and the certificates you have obtained. Your account will remain active as long as you are employed. When you leave your employment, your account will be made inactive. If an account remains inactive for 5 years (conform the legal retention period for education), we will delete it. In addition, after leaving employment, you can at any time make a request to have your data deleted via email@example.com.
Securing your data
The privacy legislation obliges Kentalis Academie to secure the personal data that we process or have processed. In accordance with the legal obligation, Kentalis takes appropriate technical and organizational measures to ensure a level of protection geared to the risk. Kentalis has implemented an information security policy for this.
Collecting or providing information to third parties
We work together with third parties with regard to the Kentalis webshop and the Kentalis online learning environment. Kentalis Academie and these collaborating parties are and remain responsible for the processing of (special) personal data and together we ensure that your privacy is guaranteed.
Use of Google Analytics
Access, correction and transfer of your data
You have the right to inquire which of your personal data Kentalis processes. We respond to such a request within one month; this is the legal response period. If there are inaccuracies in the data known to us, these can be corrected or completely removed upon request at no cost. During this period it is possible to temporarily limit the processing of your data at your request. This prevents us from making mistakes, because Kentalis continues to work with incorrect personal data during this period. You can request this via firstname.lastname@example.org.
You also have the right to request your data - as it has been included in our administration with your permission or in accordance with the agreement - and to transfer it to another institution that will process your personal data. This concerns your personal data that has been digitally processed by us.
You always have the right to object to the further processing of your personal data. Kentalis will then immediately stop processing your personal data. You can email this objection to email@example.com.
Do you have a complaint about how Kentalis handles your personal data? Please contact our Data Protection Officer via firstname.lastname@example.org.
The Kentalis Data Protection Officer will handle your complaint as soon as possible. If you are not satisfied with the handling of your complaint by Kentalis and the complaints committee, you can contact the Dutch Data Protection Authority.
